Data security and integrity are paramount for the efficient and good management of any organisation. In their broadest sense, the terms ‘data security’ and ‘data integrity’ apply to IT as well as non-IT aspects of work at FDM and are therefore applicable to all staff - whether they are general or specialist operatives - although the procedures which govern specific roles may differ.

Client data to be processed by FDM are received via secure FTP connections within the IT Department. The FTP server is a dedicated machine, separate from the main FDM server. It is equipped with up-to-date firewall, anti-virus and anti-spyware software. Clients have their own username and password to their specific folder and on the FDM computer. At the processing stage, the downloaded data is stored in secure directories set up for the individual clients, in separate ‘data in’ and ‘data out’ folders - after which the FTP files are deleted.


The data is only accessible to those employees who are directly involved in fulfilling the work required on behalf of FDM’s client - e.g. the IT personnel who need to process the data and the Account Client Managers. A specific code is assigned on a daily basis to the data in order to track its progress through the processing and production stages. Once processed, the data is transferred to our laser printers via a secure connection. Once printed, the data files are deleted from the laser printers.


The company functions within the framework of current legislation and regulations - in particular:

  1. -The Computer Misuse Act (1990) makes it an offense to access a system if not authorised, to access a system and damage files and software, and to access a system with fraudulent intent.

  2. -It may be a breach of Copyright, or theft, to obtain and/or process software of other information without due process.

  3. -FDM is also bound by the requirements of the Data Protection Act (1998) with respect to the lawful and correct treatment of our clients’ data. The Company renews its registration (No. Z7007099) with the Information Commissioner’s Office yearly.

  4. -FDM complies with the body of legislation governing harassment, discrimination and dignity at work.
